Canva for Education – How to use Canva as a teacher and educator with students – Video Transcript

Okay. Hello and welcome to the live stream. Whether you are watching me live now or if you’re catching me on a replay, I’m really grateful that you’re here and I’m grateful for you. In today’s video, I’m going to cover a topic which I thought was really relevant given the crazy time that we’re in at the moment.

And that is ‘How to use Canva for Education’. And Canva for education, in case you don’t know what Canva is, Canva is an amazing online design tool that allows you to create a bunch of design things, whether that’s social media, whether that’s posters, whether that’s design.

It really is a really amazing design tool. But one of the great things that Canva have done is that they’ve created a version for education. If you are a teacher at a primary school, high school at a university, you get Canva for free, which is fantastic cause it’s a great design tool.

And the thing that I’m going to show you today is how you can use it with your students. I feel really, I think connected to education in general because my husband is, I guess, is was and still is a primary school teacher.

And so I understand the struggle for teachers at the moment. And so that’s why I wanted to create this. I wanted to create this tool to show you how to get set up with Canva for Education, and then how the workflow works in terms of you using the tool with your students.

This isn’t a walkthrough of how to use Canva. I’ve got links in the description to how to use Canva. But this is more, this is specifically for education. Teachers, this is for you.

This is my, I guess the little bit that I’m trying to do to make things a little bit easier for everyone during this crazy, crazy time. I prepared, I feel really nervous presenting this to teachers cause I feel like this needs to be like a teacher quality.

And I know that I like teach a lot on YouTube but teaching for teachers is like very intimidating, especially when my husband is in the industry and I have a lot of like teacher friends and anyway, so, I’ve got, I’ve got a little, I do have a plan even though I seem to be stumbling and look like a mess right now.

But let’s go and I am going to now share my screen. You should see my screen right now. Okay. Let’s, let me take you through Canva for education. Once again, this is offering for schools, primary schools, high schools, education.

And for those of you who don’t know me, my name is Sara Nguyen, and I’m a content and course creator and I help small businesses grow using social media and tech with ease.

And I’ve extended this training during this crazy time to help me make sense of it and to help me, I guess, contribute in a way. And it’s in this, this training today is all for the teachers and also the educators to give you guys a little bit of help, the best that I can to help me make sense of it.

It’s as much for me as it is for you. Make sure that you check out the links in the description because I’m going to give you access to the paid version of Canva. They’ve got a free version as well as a paid version and the paid version gives you a couple of extra options, but all educators get Canva for free and they get the special features for the classroom, which you don’t get as a regular user.

I’m going to show you all of that. Check out the links in the description because it’s all going to be there for you. There’ll be links to my playlist and all of the related videos so that you can check them out if you need.

And I also have some freebies and I may or may not have some special coupon codes if you go and check in the description. Everything will be there. If I’ve mentioned something, hopefully, I remember to go back and put it there. If not, leave me a comment and I’ll go back and add it there.

Let’s get into this. Teachers you’re making me nervous already. To sign up for Canva for Education, you need to go to canva.com/education and you’ll see this is the website that, that, that they’ve got set up for you guys. And it’s, you know, a bit of a walkthrough of what to do, how to register.

But essentially what you do is you go to this, the URL, which I will put in the description and then you register for an account. Their team will verify you. You need to upload, let’s go ahead now.

You need to go to this, this site, select the register button, and then there’s a form, of course there’s a form, like educators, there’s always a form. You fill in all your details, your name, the school, paste the link to your school website.

And then you also need to upload proof of your teaching qualifications and proof of employment at a school. Whatever that looks like for you, whether it’s your teacher accreditation card, a photo of your employment status, there’s a whole bunch of options here.

Read the terms and conditions because I know everyone does that for every single thing. And then you submit that and once Canva have cleared it, so their team manually go through it and check it, they’ll give you access to Canva. Now once you have access, you’ll be able to log into the tool. Let’s have a look at that now.

This is my very busy Canva and I’m going to go. Once you’ve got access and you’ve logged in, your Canva for Education will look a little bit like this. In terms of the tool, majority of the action happens from this space, but I’m going to walk you through everything you need to do.

You’ve got your access. The first thing that you want to do is to create your class. In order to create your class, I’m going to go into, yeah, I’m going to go into another one. To create your class, you want to go to account settings and then you want to go to billing and classes.

And then when you scroll, I’m going to move myself. I’m gonna make you bigger. To the bottom of this section, you’ll see that there is the option to create a new class, create a new class here.

And when you click on that it will, let’s do it right now, open up your brand new classroom. You’re like, I’m going to zoom out again so you can see the whole screen.

Now, on the left-hand side it says Sara Nguyen’s class, which is my name. And if your name, it will have your name there. It won’t have my name cause that doesn’t make sense, why it would have my name there?

And then once you can change the name of the classroom here. On the, you can change it in a few places. But let’s click on the classroom first and you’ll see that it’s empty. I want to change this so it, it’s a bit more meaningful. I’m going to change it to, 4G Ms. Greenhill’s class.

Yay. There you go. That’s where you change the name. You click on the sidebar and then see the pencil section at the top of this banner here. That’s where you can change the name.

If you click, see if you have a look on the top-right hand corner here, you’ll see that there are three dots. And if you click on those three dots, you can also rename the team or your classroom here as well.

That’s where a lot of the magic happens. That at a very, very basic level is how you set up your class after you have access to the Canva for Education. I’m going to switch to a class that I prepared earlier because I’ve got some stuff there that I want to show you how to play with. Okay? That’s my class here.

Okay. Now you can see, I’m gonna rename this class again because it makes it more fun 4G Ms. Greenhill’s class and this will be what your students see as well. That’s why I recommend changing it. And once you’ve changed it and you refresh it, you’ll see on the left-hand side that it’s also changed it there as well.

Now, let’s go do a few things. The first thing that you want to do is you want to go to people, because we have a classroom with Canva, but we don’t have at this point in time, any way of adding or we can’t share anything cause there’s no students in it yet.

If we go to people and people will be in this main section here or in the top-right hand corner, if you click on that and select add members, it will also take you to this people section.

You’ll see here, this will be where you can add your students and you can also add other teachers and you can remove them as well. If you have a look, you can see that there is this members section.

Let’s try scrolling a little bit here, and you’ll see with the members section there are, there’s myself, there’s David Pearl who’s a teacher and Casey Canva who is a student in my classroom. If I wanted to remove someone, all I need to do is, I’m gonna move myself again, select the teacher or select the person and there’s a little down arrow and then I can just select, remove from team. They’re no longer part of the class.

They can’t access any of the designs, if you needed to remove someone. Now, how do you actually add people? There are two ways to do this.

I was not able to successfully create a Google classroom because of many reasons. One way is to import your Google classroom. When you select import Google classroom, that will ask you to choose your Google account and then you can import, follow the prompts to import all of the students who are already in your Google classroom.

I didn’t have that, so I, unfortunately, can’t show you that. But it does work. I just had lots of problems trying to set up one because I’m not a proper educator and all of that. That’s one way.

Select the import Google classroom, import your Google classroom students. The other way is to add them, add your students via their email address. I’m going to add a fake student here. Noah Canva.

It’s easy as entering their email address, selecting, you know, their role, which is student. And you can see on the right-hand side here it says students can create and share designs with both the teacher and the rest of the class and the teacher, which is you educator, can manage the class and create templates for the class to use.

Once I’ve added all of the email addresses of my students, then I’m going to send, select, select, select, send invitations. And now in theory, these should send them an invite.

Let me show you, let me show you now what Noah will see once I’ve sent this invitation to them. The email that Noah gets looks like a little something like this. I will move myself again.

It will say you’re invited to a class, you know, your name has invited you to join their class on Canva, join the class.
They get this automated email to their email address. They’ll need to obviously click on the join the class button, and then what they need to do is create an account.

This was not seamless because I am going to log out of this one actually, this is another student’s class. Okay. I’m going to click join the class and then if they don’t have an account, it will show them this message.

You’ve been invited and then they can sign up. The easiest way I find, particularly if they already have a Gmail account, is to sign up with Google and this would just connect it to their email account. And then there we go. I’m gonna log in now. I’m gonna log in with Google if you let me.

We’re having a little bit of technical difficulties. I swear this worked before. Okay. I’m gonna log in again, I’m gonna log in using another account. Login with Google and I’m going to log in, you see Casey’s account.

Okay. After they’ve signed up a lot more effectively than I did, they’ll be able to access the Google, the Google, the Canva classroom, and on the Canva classroom you can see their view here, let me make myself a little bit smaller so I’m not blocking everything.

They will be able to see their designs and when they go to the classroom, they’ll be able to see designs that you’ve set for them as well in the design section here. That’s pretty cool. In their home, so Casey can see a book review that she’s worked on.

She clicks on the classroom, she can see the template and also other designs or work that you may have for them. That’s what the student view is. We’re going to toggle between the student view and the teacher view but that’s the fun part. I find that this is the really, really powerful part of Canva.

The students, you get to lock down a little bit of their access. As I mentioned with Canva, they’ve got both the paid and the free version. In the settings, which is always accessible in the dropdown section here, so if you go to the dropdown, your dropdown in the top left, and then you go to account settings, and you go to billing and classes, you can select who can purchase and you can have it so there’s only teachers.

That’s a good thing, so you don’t need to be worried that they’re going to use paid elements and rack up a big bill because they essentially can’t do that anyway. Let’s go back to the classroom. There you go.

I really like Canva for Education. I think in terms of the workflow, it’s good. I don’t think it’s perfect yet, but I think in terms of having a tool that you can create a template and that you can use to help your students have a way of demonstrating their knowledge and their understanding of a topic and do it on a way that’s online, particularly with this crazy time right now, it’s a really great tool.

Let me show you an example of how you could potentially use Canva for Education and the workflow that comes with it. This is a design that I created, well I did not create this.

I lied. This is an infographic template. With Canva, let’s go back. You can create so many designs and the thing that makes them, I think stand out and really accessible and easy to use is that they’ve got so many templates and they’re constantly adding more templates all the time.

And the, and the beauty of the templates is that it means you don’t have to just design from scratch, that you can easily like just take a template and change the images, change the text. Whether that’s an infographic, whether it’s a poster, whether it’s a worksheet that you create, they’ve kind of got lots of layouts there for you, and then you can easily just customise it.

Check out the description because I do have, I have this Canva tutorial and will show you how you actually play around and create your own worksheets. But essentially it’s using their, all of their templates and then you can easily, easily modify it. Let’s just do a very quick demonstration.

Let’s just say that you, you’re looking for a design. There are a few ways to find it. Majority of the magic will probably, or majority of people would probably use the search bar because we all love search bars.

And it’s just a matter of targeting what you want here. If you want a poster, if you want a card, say poster, just can type it and then you’ll see suggestions of different posters. Otherwise, you can select enter, and then it’ll take you to some results.

In the home section here where it says create a design, you’ll see that they’ve got this changes all the time. They’ve got posters, logo, video presentations, and a whole heap of categories for designs here as well.

You can scroll through here and have a look at what’s available. Otherwise, on the home page you can also just scroll, see they’ve got Math worksheets, English worksheets, and you don’t necessarily have to use like the English Worksheet for English.

Like you can possibly use this and then change it to be for another topic, if you know what I mean. This is just like their starting or their, let’s all call it seed templates that you can completely modify.

You can change the text, you can change the fonts, you can change the colours to suit whatever you want it to be. I’m going to go and let’s say I wanted to do a Math worksheet.

I’m a bit nervous now because Math was not my strongest subject. I’m more of a creator, more of a creative person. I chose a template and once you choose the template, it will open up in Canva’s editor.

And then all you have to do to change something is you click on it. If I wanna change this text section, you’ll see it highlights in blue, and then I put my mouse cursor in there and then I can change the text, text.

See you teachers are making me nervous, I’m making typos. You can highlight things, delete things, and you’ll notice like depending on which element that I change, this top bar here, it changes. This is text.

And then here’s what I can do. I can change the font, I can change the size, I can make it a different colour. I can change it bold, make it bold, italic, underlined all of that magical stuff.

If I select another element, so this is this coloured shape, you’ll see the bar it changed again to colour and then I can change the colour.

I selected it, change it to a different colour. Elements here, you’ll see that there are categories of things that you can add and there’s so many different elements from images to graphics to layouts, so many different things here.

But if you’re searching for a particular thing, so let’s just say you want to add an ice cream image to it, search for it, and here’s all the different options. And in the search bar you’ll see that there’s a little filter and then you can filter it for education.

Things specifically for you. If you wanted to expand that and you want, you wanted to potentially use some additional premium elements, you can select premium. Just know that there’s a charge to them.

I’m going to zoom in a little bit to make it easier to see. As you can see, there’s this dollar sign next to some of them, and that means that there’s a charge to use this. If I select this one, it’s very subtle.

But there’s a watermark over it and it says remove watermarks, and you’ll need to have a credit card or credits in order to purchase it. If you don’t want to use it, that’s okay.

Don’t purchase it, just delete it. And you can change the filter to be all the free ones. And see when I hover over them, it says free. I’m going to choose a free ice cream and add it to my design here. And that’s beautiful.

Okay. Now that we’ve had a crash course on how to use Canva, let’s have a look at an actual workflow. Okay. I’ll close you. I’ll close you. I’m going to go back to my class and I’ve chosen this design, which is an infographic because I was talking to another Canva person and we were like, what’s the best template, you know, that you now view that we think teachers can use to help them deliver a lesson online or to help them do what they need to do with students.

And we were like there are so many, you can use the presentation templates and you can get them to I guess create a presentation to show that, you know, to demonstrate their knowledge of a topic. And you can also do that with an infographic that may be a little bit less involved than a full-blown presentation.

I selected infographic as a topic or as a template. And now when you have a look at all the features here, what I really like about it is that on the actual

design, sorry I lost my words there for a second, you can see on the, on the sides here, I’ll try to zoom in a little bit that there are notes here and I put notes and all I had to do to put a note was select on the section and then there’s this little plus icon here.

And then I can use this section to add a note so that my students when they’re looking at this template they will know that I’ve left a note there for them, whatever it may be. It could be like in this section, add X, Y, Z.

It’s another way of I guess communicating with them and just adding little reminders of things that they need to do. After you, you know, I guess gone in and changed the template to be however you want it to be.

Here’s what happens next. You’ve got this design and then you can go ahead and share it with your students, and to do that, it all happens from the top-right hand corner here where it says share. And then I’m going to zoom in a little bit so I can make sure that you can– oh no, that doesn’t work. Okay.

On the top-right hand corner where it says share you’ll see that there’s your class there and there is this little eyeball. You want to be able to switch it to either can view or can edit. If you select can edit, that means the students can go in and write on it directly, which I don’t know, it depends on whether or not you want that to happen.

If not, if you select can view only they won’t be able to go in and edit it. They’ll only be able to see it. Let’s have, let’s go back to the template and this is for Casey’s class.

You can see that this is the template that I made as view only. And therefore, Casey can only make a copy, they can’t edit it, which is I guess a good way of doing it. Let’s go make a copy.

The problem with make a copy in my view, why did that go there? Has that been there the whole time? Anyway, the problem with make a copy is that you lose all of the, the notes that you have.

I find that I’m a little bit of a downside of sharing and not allowing them to actually edit it. Let’s close this to have a look at what happens if I change it to share. I’m going to switch it to can edit.

Now it has this pencil icon selected as opposed to can view so that your class can edit it now. Let’s have a look here now. Let’s go over to just one second. Back over to Casey’s view, refreshed it.

They can see the design by click on it and then it says, edit. When they go into edit, because I’m the teacher and I’m currently in it, things still happening, but it allows them to then, where, why can I not view the actual, here you go, there you go.

It allows them to view all of the comments that you left. As a student, I can see all the comments and I can be like at the teacher, I don’t understand this, so they can chat to you within the design or document itself and then you’ll be able to see this in your view. That’s pretty cool.

Well it depends on how you, I guess want to manage the workflow, but this is what happens when they can create this version that the one version that you allow them to edit.

Let’s just say that you created one specifically for Casey. Casey’s going in. Casey’s doing amazing work and putting all the information in and choosing other elements to add to their design.

Once they’ve made all of their changes, what they can do in this top-right hand corner here is they can select the send to teacher option and this will give you a notification for you to go in and for you to check it. Let’s go now.

Casey’s added this one. They’ve done all this amazing stuff. They’ve asked you a question, they’re ready to submit it. I’m going to select this. Send to teacher. They can choose the teacher if there’s more than one and then they can send you a message.

Hi miss, I finished my work. Select send. Okay. And I’m like in the message sent, you get an email when your design has been worked on. Now let’s go back to what it looks like for you as a teacher. Okay. If you go back to, when I closeout.

Oh, that is groups. All the designs here, actually I’m going to take this off-screen for a second. What you’ll get is an email and you’ll see that it says, a design requires your approval. And then you also see

messages from the student here. That comment that they left and then you can select review. This will open up the design. Casey still editing it. That’s okay.

And if you open it up, you’ll see, you’ll be able to see on your side their comments and their work and then you can interact with them directly on this document. Whether that is adding some more comments, perhaps you add a comment here going, hey @Casey, you’ve missed this sess– you’ve missed this section.

Leave a comment for them there. I was talking to my husband about other ways of communicating with them. And he said as a teacher you could possibly even write on top of it. Hey, how about to make it really obvious and then change the colour to be, I don’t know, let’s go pink, something like that.

There’s lots of different ways that you can interact with them, but the comments is one, and writing on top of that is another way. And then once you’ve finished your review, as you can see, the status on the top has changed here.

What you can do is you can select the review button in the top right-hand corner as a teacher and then you go, “Great work. Have, have a look at the notes.” select give feedback. We’ve sent your feedback to Casey.

Now, let’s have a look at what Casey, we’ll see. Just takes a couple of seconds. I’m having a look in the email, it hasn’t come through probably cause I’m live and things haven’t worked seamlessly when you’re live.

Can we just have a look at the view? Okay. In theory, there should be an email but it has not come through just yet. Just give me a second. I’m just gonna play around and make sure that this is definitely, huh! Here it is. Here’s Casey’s email.

I’ll get an email that says you’ve got feedback on the design. They’ll see like the, the feedback in this view. The stuff that you’ve put on top of the design is immediately visible there. That message that you have, you put for them is at the bottom of it.

But all the other notes don’t need to go into the design to see. Which is why I really liked the idea of putting it, your feedback on top of the design because that means that they’ll be able to see if they don’t go into the view, so, they can obviously delete that afterwards so they can see the view then.

That’s how the workflow works. Not seamless, but I do think it’s really powerful just being able to have these documents that you can then interact with your students.

They send it to you, they get notifications, you get notifications and it’s, it’s a really powerful tool, particularly for being able to give them classwork and give them, give them tasks, demonstrate learning, see my husband told me that one, in an online environment.

And there’s so many different templates and tools, I know that, you know, I’m not going to teach you telling you how to come up with a curriculum. You can do that blindfolded, but this is how you can use it to do what you do best, which is teach.

Follow the prompts, filling your form, upload all your staff. They say it takes about a week. See how you go. I also showed you how to create a class, add, add students via email.

There’s an import classroom, Google classroom, which I couldn’t show you how to do cause I don’t have one, but that’s an option for you as well.

And then I walked you through the content workflows. Creating a document making it as a template or making it editable and then the workflow. Adding comments to the side, add in comments on top, submitting it, the student receiving it, the students submitting it, you giving more feedback, that nice little workflow.

Hopefully you found that really useful and this helps you teachers because I love you guys and so much respect for what you guys do. Big, big, big supporter all the way all the teachers particularly in this time right now.

How do you uncover the topics to create videos about?
Keyword research is how. 
Trust me, this is something that your future YouTube self will thank you for when you create videos that actually get views AND that lead to sales for you! 🙏🏼
And it's not as complicated or scary as you may think it is.
1. Use my top recommended tool: KeywordsEverywhere. It's super affordable and easy to use.
2. Download and install the KeywordsEverywhere Chrome extension. Once installed, set up the plug-in and add some credit($10 is plenty to get you started).
3. Start entering topics in the search bar for videos you want to create. 
4. Look at the "Search volumes" that KeywordsEverywhere reveals. This is where the magic is. You want to go for keywords that have >1000 searches per month. 
5. Look at the "Related searches" for more keyword ideas and keep refining. 
6. Check out Askthepublic.com to help generate more keyword ideas and see the search volumes. 
Following these steps will ensure that your YouTube videos are successful data-validated topics. 💃🏽💃🏽

Step 4 - Choose a day and block out a few hours to record.
Step 5 - Hit Record! Film your video content (or Go live!)
Step 6 - Edit your video, either do it yourself or outsource it. 
Step 7 - Upload your video and optimise it for YouTube search
Step 8 - Release your video.
Step 9 - Promote your video (in non-spammy ways).

3️⃣ The YouTube algorithm loves consistency. Whether that’s weekly, twice a week, monthly. It’s all about what can you handle and how are you going to manage it. Showing up consistently, whatever that looks like for you.

4️⃣ What's your video frequency? After being consistent, how often are you releasing videos?

5️⃣ How are you delivering your content? Check your voice projection, your pronunciation, your pace of speaking.

6️⃣ Visuals...how are you showing up How does does your video look aesthetically?

7️⃣ How is your video sound quality? Is it clear? Do you have lots of background noise? Is the background music too loud?

8️⃣Ask for the sub, but give people a reason to. Don't beg for subs (or anything for that matter).

9️⃣ Take imperfect action.
Keep going even if you don't feel it's good enough. The more videos you create, the better you will get at the process and the more your channel will grow.
